BUSINESS SYSTEMS & AUTOMATION

Less friction.
More business.

Practical systems and automation that give small businesses back their time.

Navin Chandra, founder of Mantis Methods

Who I help

Owner-run service businesses of one to five people, where the owner is still doing the admin.

Trades

Quotes, jobs and invoicing handoffs.

Small travel operators

Bookings, enquiries and guest comms.

Event and hospitality

Caterers, food vans and small venues.

Sound like you?

If you’re thinking any of these, we should talk.

  • I’m doing quotes at the kitchen table every night.
  • We paid for that software but never set it up.
  • Orders come in by text, email and notebook, and things get missed.
  • I keep chasing people who haven’t paid or haven’t replied.

How it works

Three steps. Each one stands on its own, so you can stop after any of them.

  1. Free

    Free scoping session

About an hour. I trace how work flows through your business and find where time leaks or work gets done twice. It starts with one question: “Tell me the job you hate doing every week.”

  2. Fixed fee

    Written roadmap

A small fixed fee, and it’s yours to keep.

A clear map of how work flows through your business, where time leaks, and the fixes in priority order. Use it with me or without me.

  3. Build

The fixes themselves, scoped from the roadmap, one thing at a time, starting with the safe back-office wins.

Recent work

One place for every enquiry

Enquiries arriving through several channels are routed into a single CRM, using Zapier and AI tools, so nothing gets missed.

Team tasks in one dashboard

Asana set up and connected to Google Workspace (Gmail and Google Chat), so team requests get prompt follow-up and every task lives in one place.

Email marketing that runs itself

A streamlined newsletter setup covering subscriber onboarding, audience management and newsletter creation.

Small web apps for specific problems

Custom tools that collect data or turn handwritten information into usable records.

What I build, and how I work

Every setup is tailored to what your business needs.

Set up what you already pay for

Tools you bought but never set up properly, such as ServiceM8, a CRM or Asana, configured from your logins, with a short walkthrough video.

Connect your tools

Your existing systems talking to each other through automation platforms or built-in integrations. You do one job, and the next one happens on its own.

Task and team systems

Shared task tracking and internal communication so nothing drops between staff.

Newsletters and email

List cleanup, segmenting, choosing and setting up a platform, and automated sequences and follow-ups.

Team training and adoption

Teaching your staff to actually use the new system, with check-ins at 2 and 6 weeks after handover.

One job, end to end

I follow one job from start to finish, enquiry through to done and paid, and show you exactly where the time goes.

Homework first

I research the tools you already use before we sit down. Most of the time you keep what you’ve got.

Your clients stay with a human

I automate the back-office work, not your client relationships. Anything a client will see, or that can’t be undone, is checked by a person first.

AI where it fits. I’ll tell you honestly if AI is the right tool. If a simple automation does the job, that’s cheaper and safer. We start on free tools where we can, and you only pay for more when the business needs it.

About Navin

For more than fifteen years I’ve built the systems behind people and programs: leading school departments and budgets, running grant-funded community health programs, and training and mentoring teams.

Along the way I’ve picked up wide business experience, from photography to real estate to the travel industry. Each one taught me the same thing: good processes free people up to do their best work.

I hold a Cert IV in Entrepreneurship and New Business (Small Business Solutions, TAFE Queensland) and sit on my BNI chapter’s Membership Committee.

Tell me the job you hate doing every week.

We start with a free scoping session. That’s where I work out what’s worth doing.
